Project Scheduling – Central to Project Management Software

The project schedule should be considered a central part of the project management software. Without easily scheduling all the project tasks, there is little expectation on the effectiveness of controlling complex projects. However, project scheduling software must simplify project managers and not complicate them.

Project schedule

The project schedule is a central part of the project plan and serves to link the tasks to be accomplished with the resources that implement them. Contains a list of results with scheduled start and end dates. Shipments are the lowest level items in a schedule that are not shared.

In addition, the Roadmap provides project teams with a map for project implementation and provides a baseline for tracking progress and managing change. It can be used as a checklist to perform all necessary tasks. If a task is on the timetable, the team is committed to doing so. In other words, the project schedule means how the project leader leads the team and project management.

Visual representation of the schedule timeline diagram. It is created by presenting the tasks of the projects, their duration and sequence, and the main milestones of the project. The Gantt Chart is the most popular schedule.

Before creating a project schedule, the project manager must have a work sharing structure (WBS), effort estimates for each task, and a list of resources available for each resource. Once these data are created, the project scheduling tool automatically performs the cumbersome work of calculating the schedule. However, before a project manager uses such tools, they need to understand concepts such as WBS, dependencies, resource allocation, critical paths, and so on. These are the real keys to planning a successful project.

Some important steps need to be taken when preparing the project schedule:

  • Creating dependencies – The first step in the project schedule is to determine the order in which the tasks are performed. The WBS structure is used as an input. There is a dependency between two tasks when another depends. There are four types of addiction: Finish to Start, Finish to Finish, Start to Start and Finish Finish.
  • Assigning Resources to Tasks – The next step is to identify the resources needed to complete the work. The resource is any person, element, device or service that is required for the project. Based on the time available, the schedule may change in time.
  • Creating a Schedule – After creating dependencies and assigning resources, the project manager must specify the working time or duration of each task. With this information, the project scheduling software must be able to automatically organize tasks and calculate the final date of the project.

Project Scheduling Solutions

Over the years, managers have used tables for scheduling and resource management. Initially, they were the only solution. It was still used because of the low cost of such systems. Though this approach is not used or recommended by professionals, sometimes small organizations are a practical and affordable solution for small projects. However, this limits the ability to do everything that a dedicated project management software can do, especially with regard to graphical displays and data flexibility.

The work schedules are used to manage resources and work to complete the project. Presents the distribution of work in time. Once established, it is difficult to handle in the event of a change. However, using project management tool becomes easier and you can see how changes in working time are reflected in the schedule. Managers will be able to recognize the overall or overtime of resources and perform work ordering.
